ATTENDANCE & CANCELLATION POLICY
We care about your family & want to be successful with your child’s development! Please support your child’s success with consistent attendance.  This is of paramount importance to progress in therapy. Consistent attendance is a commitment.


Understandably, we are aware that life situations occur and some absences are without warning (vehicle issues, sudden onset of an illness, rural road conditions, etc.) We want to be considerate of such circumstances and are willing to work with you, as much as possible. Our therapists will also need to cancel at times. We will also give you an advanced notice of the cancellation with an option to reschedule the appointment, as available.

Some patients require frequent surgeries or procedures due to medical conditions. If dates are given in advance, those absences will not be held against their attendance.

If you choose to cancel a session, it should be given with at least 3 hours notice. Be aware that the front desk will ask you to reschedule. If you are unable to give at least 3 hours notice of cancellation, that will be considered an unexcused absence.
***For those who have early morning appointments, you can text as early as 5:00 am at 479-755-4047.


  • You are allowed 3 excused absences before the clinic adjusts your child’s therapy schedule to a Reduced Frequency Therapy schedule. If an additional unexcused absence occurs while on the reduced frequency therapy schedule, you will be offered a spot on the Flexible Schedule Program.

  • After 3 UNexcused absences, your child will be removed from the permanent schedule, and you will be offered a spot on our Flexible Schedule Program.

  • After 2 no-shows, you/your child will be removed from the permanent schedule, and you will be offered a spot on our Flexible Schedule Program

  • *** Absences (excused and unexcused, not ‘no-shows’) will not be counted against your attendance if they are rescheduled within the same week.


If your child experiences excessive seasonal illnesses, requiring frequent cancellations, the decision to place them on either the Reduced Frequency Therapy schedule or Flexible Schedule Program will be decided by clinic staff. Once consistently healthy, they may return to a spot on the consistent therapy schedule, if available.

Reduced Frequency Therapy Schedule
Your therapy will be reduced from 2 or 3 times weekly to once weekly. You may contact the clinic weekly to check for openings, should you want to attend more than your once weekly reduced frequency therapy schedule. If you keep all scheduled appointments for 4 weeks, you will be eligible to return to the permanent schedule, if openings are available. 

Flexible Schedule Program: 
When you are placed on the FSP, you can call the office each week to pre-schedule appointments for the next week. Or, when we get a cancellation on the schedule, we may contact you to see if you can come in/bring your child in for therapy that same day. If you cannot come in/bring your child, we will try again the next time we have an opening. If you keep all scheduled appointments for 4 weeks, you will be eligible to return to the permanent schedule, if openings are available. Same appointment days/times and same therapist cannot be guaranteed once you are moved to the FSP. If you no-show-no-call while on the FSP, you will no longer be eligible for reschedule. Commitment to therapy is necessary for their improvement and eventual discharge. 

Arrive on time for therapy sessions.
It is important that your child receives the entire prescribed therapy each week, in order to make progress. Our therapists see patients by appointment, and will begin and end all sessions promptly on time. This allows for other patients to receive their fully prescribed weekly therapy sessions as well. Please contact the front desk if you are running late for a scheduled session.

Arrive 5 minutes early to pick up your children. It is important for you to be present in the waiting room when your child's therapy is finished. Your therapist may need to talk with you about your child's performance and progress. When parents are not present for pick-up, it can cause the following patient to be late for their session with that therapist. Or it causes the front desk staff to monitor several children at once.

If you are a parent/caregiver of a child who has a condition in which therapy will be required long-term or for several years, please feel free to speak with us about taking ‘therapy breaks’ as you need.
